Welcome to EJA ERP.

By accessing or using EJA ERP, creating an account, subscribing to a service, or using any EJA ERP application, you agree to be bound by these Terms.

If you do not agree with these Terms, you should not access or use EJA ERP.

1.About EJA ERP

EJA ERP is a cloud-based business management platform designed to help organizations manage and digitize their business and operational processes.

The EJA ERP ecosystem may include applications and services such as:

  • Project Management
  • Asset Management
  • Timesheet Management
  • Bookkeeping
  • School Fees Payment Management
  • Event Planning
  • Hotel Management

Other applications, features, integrations, and services introduced by EJA ERP from time to time.

EJA ERP may add, modify, replace, suspend, or discontinue features or applications as the platform evolves.

2.Acceptance of These Terms

By using EJA ERP, you confirm that:

  • You are legally capable of entering into a binding agreement;
  • You have authority to accept these Terms on behalf of an organization where applicable;
  • The information you provide to EJA ERP is accurate and complete;
  • You will use the platform in accordance with these Terms and applicable laws;
  • You will not use EJA ERP for unlawful, fraudulent, abusive, or unauthorized purposes.

If you are using EJA ERP on behalf of a company, school, organization, or other entity, you represent that you have the authority to bind that organization to these Terms.

3.EJA ERP Accounts

Certain features require you to create an account.

You are responsible for:

  • Providing accurate registration information;
  • Maintaining the confidentiality of your login credentials;
  • Keeping your password secure;
  • Restricting unauthorized access to your account;
  • Ensuring that users under your organization are properly authorized;
  • Notifying us promptly if you suspect unauthorized access.

EJA ERP reserves the right to suspend or restrict accounts where there is reasonable evidence of unauthorized access, fraud, abuse, or violation of these Terms.

4.Organization and Administrator Accounts

Where an organization subscribes to EJA ERP, the organization may designate one or more administrators.

Administrators may have the ability to:

  • Create and manage users;
  • Assign roles and permissions;
  • Configure organizational settings;
  • Access organizational records;
  • Manage subscriptions;
  • Manage applications;
  • Control access to certain information.

Organizations are responsible for ensuring that their administrators and users have appropriate permissions.

5.Subscription and Paid Services

Certain EJA ERP services may require a paid subscription.

Subscription plans, prices, user limits, billing periods, features, and other commercial terms will be communicated through the EJA ERP website, quotation, order form, subscription page, invoice, or other applicable commercial documentation.

Unless otherwise stated:

  • Subscription fees are payable in advance;
  • Fees may vary according to the selected plan, number of users, applications, features, or usage;
  • Taxes, duties, payment-processing charges, or other applicable charges may apply;
  • Your subscription remains active only while applicable fees are paid.

EJA ERP reserves the right to change its pricing and subscription plans. Where appropriate, customers will be given reasonable notice of material pricing changes.

6.Free Trials and Demonstrations

EJA ERP may offer free trials, demonstrations, promotional subscriptions, or limited-access versions of certain applications.

Unless otherwise stated:

  • Trial accounts may have limited features or usage;
  • Trial periods may expire automatically;
  • EJA ERP may modify or discontinue trial programmes;
  • Trial accounts may be deleted or restricted following expiration;
  • Trial services may be provided without warranties or service-level commitments.

Customers should ensure that important business information is exported or retained before the end of a trial period where applicable.

7.Payments

Payments may be processed through third-party payment providers.

By making a payment, you authorize the applicable payment provider to process the transaction according to its own terms and privacy policies.

EJA ERP does not intentionally store complete payment-card information where payment processing is handled by a third-party payment provider.

You are responsible for ensuring that payment information provided to the relevant payment provider is accurate and authorized.

8.Refunds and Cancellation

Subscription cancellation and refund rights will depend on the applicable subscription plan, order form, quotation, or commercial agreement.

Unless otherwise expressly agreed in writing:

  • Subscription fees already paid are generally non-refundable;
  • Cancelling a subscription does not automatically create an entitlement to a refund for unused time;
  • Cancellation normally takes effect at the end of the current billing period;
  • Outstanding amounts remain payable following cancellation.

Nothing in these Terms limits any mandatory consumer or statutory rights that cannot legally be excluded.

9.Acceptable Use

You agree not to use EJA ERP to:

  • Violate applicable laws or regulations;
  • Commit fraud or facilitate fraudulent activities;
  • Infringe intellectual property rights;
  • Attempt to bypass security controls;
  • Introduce malware, viruses, or malicious code;
  • Interfere with platform availability or performance;
  • Conduct unauthorized penetration testing;
  • Reverse engineer or decompile the software except where expressly permitted by law;
  • Scrape, copy, or systematically extract platform data without permission;
  • Use automated methods to abuse or overload the platform;
  • Store or distribute unlawful, defamatory, threatening, or fraudulent content;
  • Use EJA ERP to facilitate activities that could harm other users or third parties.

We reserve the right to suspend or terminate access where we reasonably believe that the platform is being used in violation of these requirements.

10.Customer Data

You grant EJA ERP the limited rights necessary to host, process, transmit, display, back up, and otherwise process Customer Data solely for the purpose of providing and improving the contracted services, subject to applicable law and our Privacy Policy.

You are responsible for ensuring that you have the necessary rights, permissions, notices, and lawful basis to collect and provide personal information to EJA ERP.

This is particularly important where Customer Data includes information relating to:

  • Employees;
  • Students;
  • Parents or guardians;
  • Customers;
  • Suppliers;
  • Contractors;
  • Visitors;
  • Other individuals.

11.Data Protection and Privacy

EJA ERP takes data protection and privacy seriously.

Personal information collected through the website and platform will be handled in accordance with our Privacy Policy and applicable data-protection laws.

For customers operating in Nigeria, EJA ERP will seek to process personal data in accordance with applicable requirements under the Nigeria Data Protection Act 2023 and relevant regulatory guidance.

Our Privacy Policy explains:

  • What personal information we collect;
  • How we use personal information;
  • How information is stored;
  • How information may be shared;
  • Data-subject rights;
  • Security measures;
  • Data retention;
  • How individuals can contact us about privacy matters

12.Customer Responsibility for Data

Customers remain responsible for the accuracy, legality, and appropriateness of information entered into EJA ERP.

You must not upload personal information unless you have an appropriate legal basis and authorization to do so.

Where applicable, you are responsible for:

  • Providing required privacy notices to your employees, customers, students, parents, suppliers, or other data subjects;
  • Obtaining required consents;
  • Responding to requests from data subjects;
  • Maintaining appropriate internal access controls;
  • Ensuring that users only access information necessary for their roles.

13.Security

EJA ERP uses reasonable technical and organizational measures designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

Security measures may include:

  • Access controls;
  • Authentication mechanisms;
  • Role-based permissions;
  • Encryption where appropriate;
  • Monitoring;
  • Backups;
  • Infrastructure security controls;
  • Security updates.

However, no internet-based service can guarantee absolute security.

Customers are responsible for maintaining secure passwords, controlling user access, and following appropriate security practices.

14.Backups and Data Availability

EJA ERP may maintain backups of platform data as part of its operational and disaster-recovery processes.

Backups are intended to support system recovery and continuity but should not be treated as an unlimited or permanent archive.

Customers should maintain appropriate copies of critical business information where required for their own business-continuity requirements.

15.Third-Party Services and Integrations

EJA ERP may integrate with or depend on third-party services, including:

  • Payment providers;
  • Hosting providers;
  • Authentication services;
  • Communication services;
  • Analytics services;
  • Mapping services;
  • Other software and technology providers.

Third-party services may have their own terms, privacy policies, availability requirements, and limitations.

16.Intellectual Property

EJA ERP and its underlying technology, software, designs, interfaces, trademarks, logos, documentation, content, databases, and other materials are owned by or licensed to EJA ERP and are protected by applicable intellectual-property laws.

Except as expressly permitted under these Terms, you may not:

  • Copy EJA ERP software;
  • Sell or sublicense the platform;
  • Modify or create derivative works;
  • Reverse engineer the software where prohibited by law;
  • Reproduce proprietary platform content;
  • Use EJA ERP trademarks without authorization.

Your subscription gives you a limited, non-exclusive, non-transferable right to use the platform during the applicable subscription period.

17.Customer Intellectual Property

You retain ownership of content and data that you submit to EJA ERP.

You are responsible for ensuring that your content does not infringe the intellectual-property, privacy, confidentiality, or other rights of third parties.

You grant EJA ERP the limited technical rights required to provide the services.

18.Software Updates

EJA ERP is continually evolving.

We may:

  • Add new features;
  • Improve existing functionality;
  • Modify user interfaces;
  • Fix bugs;
  • Improve security;
  • Remove obsolete functionality;
  • Introduce new applications.

Where changes materially affect customers, EJA ERP may provide appropriate notice where reasonably practicable.
